Success in Steps respects your privacy and the sensitive nature of seeking counselling and psychotherapy. This policy explains how we handle information collected through our website and when you contact us.

Information we collect

When you submit an inquiry, we collect the information you provide, which may include:

Please share only what is necessary for your initial inquiry. Avoid including detailed medical histories, identification documents, or other highly sensitive information in the website form or ordinary email.

Our website and hosting providers may also process technical information, such as your IP address, browser type, pages requested, and request timestamps, to deliver the website, maintain security, and prevent misuse.

How we use your information

We use your information to respond to inquiries, discuss our services, understand your preferences, coordinate appointments, and help identify a suitable clinician. Referral information helps us understand how people find our practice.

We also use information as necessary to maintain website functionality, prevent spam, and meet applicable legal obligations.

Submitting an inquiry does not subscribe you to marketing communications.

Consent and your choices

When you contact us, we use the information you provide to respond and address your request. Where required, we obtain additional consent before using or sharing your information for another purpose.

You may ask us to limit communications or withdraw consent by contacting us. Withdrawal applies going forward and is subject to legal and professional requirements. We will explain if your request affects our ability to assist you or provide services.

Sharing and confidentiality

We do not sell or rent your personal information.

Information may be accessed by authorized personnel and service providers who need it to respond to your inquiry or support our operations, including website hosting and communication providers.

If connecting you with an independent associate clinician involves sharing your inquiry, we will obtain consent where required and limit the information shared to what is necessary.

We may also disclose information where permitted or required by law, including applicable reporting obligations, court orders, or circumstances involving a significant risk of serious bodily harm.

Therapy and clinical records

This website policy does not replace the informed consent and confidentiality information provided by your treating clinician.

Personal health information collected during care is handled under applicable Ontario privacy legislation, including the Personal Health Information Protection Act, 2004, where applicable, and the clinician's professional obligations.

Success in Steps works with independent associate clinicians. Responsibility for your clinical records may rest with your treating clinician. Please ask your clinician who maintains your records and how to direct privacy or access requests.

Website providers, cookies, and external services

Our website is hosted on Netlify and uses Google Fonts and an embedded Google Maps feature. These services may receive technical information, including your IP address, when your browser connects to them. Embedded services may also use cookies or similar technologies under their own privacy policies.

You can manage cookies through your browser settings. Restricting cookies may affect some website features.

Links to social media and other external websites are governed by those providers' privacy policies.

Some service providers may process information outside Ontario or Canada, where it may be subject to the laws of the relevant jurisdiction.

Safeguards and retention

We use reasonable administrative, technical, and physical safeguards appropriate to the sensitivity of the information. However, no internet transmission or storage system can be guaranteed completely secure.

We retain information only as long as reasonably necessary for its purpose and to meet applicable legal and professional obligations. Clinical records may need to be retained after services end or consent is withdrawn. Information is securely destroyed or de-identified when no longer required.

Access, corrections, and concerns

You may contact us to request access to your personal information, ask for corrections, or raise a privacy concern. We may verify your identity before responding. Requests are subject to applicable legal exceptions and retention requirements.

For clinical records held by an independent clinician, we can help direct your request to the appropriate person.

You may also raise concerns about personal health information with the Information and Privacy Commissioner of Ontario at www.ipc.on.ca.
